Keyholder Responsibilities

Your role as a keyholder

Being a keyholder is easy, if you are prepared, here are a few tips

Keep the keys to the property in a safe place or on your key ring.
Ask to set and unset the alarm system in the property when you are next visiting

Why keyholders are needed

The Police require that all owners of buildings fitted with a monitored intruder alarm system nominate at least two people to act as keyholders who can be contacted if the alarm is activated whilst the building is unoccupied. Keyholding is an important position of trust and this page on our website explains the duties associated with the role.

What does a keyholder need to know?

  •  How to unlock the door's of the property

  • Where the control panel and keypad are located

  • The alarm keypad code number which you have been allocated (by the owner of the property to operate the system) please memorise this and do not write it down

  • Your code word/PIN number for the Alarm receiving centre

  • The telephone number of the Alarm Receiving Centre is displayed on or next to the system and that of the nearest police station

  • The telephone number of the alarm company’s service bureau which is 0845 004 85 85 or 07855 806362 out of hours.

  • How to contact the owner (this should include work and mobile telephone numbers and contact numbers when they are on holiday)

  • Where the system log book is kept

  • How to reset the system

  • How to lock up again

When the security system is activated - what is a keyholder expected to do?

You would have been called by the Alarm Receiving Centre if we they an alarm signal and the owner or other contacts of the property cannot be contacted.

The Alarm Receiving Centre will contact you and tell you that an alarm / event has happened at the property

You should attend the property as soon as possible, remembering to take the keys to the property

When you arrive at the property:

  • DO NOT PUT YOURSELF AT RISK

  • IF YOU CAN SEE SIGNS OF AN INTRUDER, CALL THE POLICE DIALING "999"

  • DO NOT ENTER THE PROPERTY UNTIL YOU KNOW IT IS SAFE TO DO SO.

Before you leave the property you will need to re-set the alarm using the code given to you by the owner of the property - you may need to call our Alarm Receiving Centre for advice.

Remember to secure the property before you leave and inform the owner to tell them about the alarm. If the system has been tampered with you may need to call out the alarm company 0845 004 85 85 or 07855 806362 (out of hours) for an engineer to attend. If you have a mobile phone, please give this number in addition to your normal contact telephone numbers.
